Privacy

Your email address and the name of your business. The vendor documents you send us, stored as the original file. The line items we read out of them — SKUs, descriptions, quantities, units, prices and totals. A record of what was sent to your spreadsheet and when.

If you connect Google Sheets, we hold a token that lets us add rows to the spreadsheet you chose. It is encrypted at rest, and it does not give us access to the rest of your Google account or your email.

To read your documents and put the line items in your spreadsheet. That is the whole product. We also keep the price we read for each item over time, so we can show you when a supplier changes one.

We do not use your documents or your prices to train anything, and we do not sell or share them.

Four companies, each doing one job:

• Anthropic — the contents of each document are sent to their API to be read. This is the one that matters most, and it is unavoidable: it is how the extraction works.
• Google — only if you connect a spreadsheet, and only the rows we add to it.
• Resend — your email address, to send you sign-in links.
• Railway — hosts the application and the database your data sits in.

Nobody else. If that list ever changes, this page changes with it before the change goes live.

Every table that holds customer data is protected by database-level access rules, so a request carrying one business's credentials cannot read another's rows even if the application code has a bug. We test this on every build.

Documents and extracted line items are kept while your account is open, because the price history is only useful over years. Ask us to delete them and we will, and closing your account deletes everything within 30 days. To close your account, email javier@systemizedflow.com.

One exception: records of what we sent to your spreadsheet are kept as a plain log, so that a repeated send can never duplicate rows in your sheet.

Every line item we hold for you is downloadable from the Export page at any time, on any plan — as a CSV, as JSON, or as a file shaped for QuickBooks or Xero. No request needed and no waiting.

A document you drop on the try page is read and discarded inside the same request. We do not store the file, its contents, its name, or the line items we read out of it. There is no account for any of it to belong to.

Its contents are sent to Anthropic to be read, exactly as they would be on a paid account. The only thing we keep is a one-way hash of your IP address and a timestamp, so the free demo can be rate-limited. That hash cannot be turned back into an address, and we never store the address itself.

One, to keep you signed in, and one to remember which business you are looking at if you belong to more than one. No advertising or analytics cookies, and no third-party trackers.
